Position Overview:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will be a self-starter with exceptional communication skills and the ability to handle a wide range of administrative and executive support-related tasks. This role requires a high level of professionalism, discretion, and the capability to multitask effectively in a fast-paced environment.
Roles and Responsibilities
Act as the primary point of contact for the CEO, managing their calendar, appointments, and meetings, ensuring efficient use of their time.
Coordinate and manage extensive travel arrangements, including flights, accommodations, and itineraries for both domestic and international trips.
Prepare and edit correspondence, presentations, reports, and other documents on behalf of the CEO, maintaining accuracy and confidentiality.
Conduct research and compile information as needed for presentations, reports, and meetings.
Assist in organizing and overseeing special events, board meetings, conferences, and other executive-level gatherings.
Handle incoming communications, including emails, phone calls, and mail, and respond on behalf of the CEO when necessary.
Collaborate with other executives and team members to facilitate smooth communication and workflow across the organization.
Manage and prioritize multiple projects simultaneously, following through on tasks to ensure deadlines are met.
Act as a liaison between the CEO and internal/external stakeholders, exercising discretion and professionalism in all interactions.
Desired Candidate Profile
Bachelor’s degree or equivalent experience in a related field.
Proven experience (4 years) as an Executive Assistant or similar role supporting C-suite executives.
Exceptional organizational and time-management skills, with the ability to prioritize tasks efficiently.
Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
Strong verbal and written communication skills, with a keen eye for detail.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
Flexibility and adaptability in a dynamic work environment, with a proactive and problem-solving attitude.
