Position Overview:

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will be a self-starter with exceptional communication skills and the ability to handle a wide range of administrative and executive support-related tasks. This role requires a high level of professionalism, discretion, and the capability to multitask effectively in a fast-paced environment.

Roles and Responsibilities

  • Act as the primary point of contact for the CEO, managing their calendar, appointments, and meetings, ensuring efficient use of their time.
  • Coordinate and manage extensive travel arrangements, including flights, accommodations, and itineraries for both domestic and international trips.
  • Prepare and edit correspondence, presentations, reports, and other documents on behalf of the CEO, maintaining accuracy and confidentiality.
  • Conduct research and compile information as needed for presentations, reports, and meetings.
  • Assist in organizing and overseeing special events, board meetings, conferences, and other executive-level gatherings.
  • Handle incoming communications, including emails, phone calls, and mail, and respond on behalf of the CEO when necessary.
  • Collaborate with other executives and team members to facilitate smooth communication and workflow across the organization.
  • Manage and prioritize multiple projects simultaneously, following through on tasks to ensure deadlines are met.
  • Act as a liaison between the CEO and internal/external stakeholders, exercising discretion and professionalism in all interactions.

Desired Candidate Profile

  • Bachelor’s degree or equivalent experience in a related field.
  • Proven experience (4 years) as an Executive Assistant or similar role supporting C-suite executives.
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks efficiently.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Strong verbal and written communication skills, with a keen eye for detail.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Flexibility and adaptability in a dynamic work environment, with a proactive and problem-solving attitude.
  • Professional demeanor, demonstrating tact, diplomacy, and professionalism at all times.
